Once you have set up your Quickbooks Online integration, you can export your projects over to QBO.
To do this, open your project to the Overview page.
In the bottom right section titled Additional Tools, click "Export to Quickbooks Online".
A pop-up window will appear asking "Are you sure you want to export to Quickbooks Online?"; click "OK".
You will then see your project in Quickbooks as an Estimate.
What is Exported?
Jetbuilt projects are exported to QBO as Estimates. On export:
a Customer is created or matched
Client Company name, Client address, and Contact first and last name are imported (Contact phone number and Contact email are not imported)
an Estimate is created
Equipment: line items are exported as Items and Lines:
Items of type Non Inventory are matched or created for each line item to represent equipment
Item name, description, and price are imported (Cost is not imported)
All Items are imported as "Non Inventory" and can be converted to "Inventory" once they are inside QB, if desired.
A Line is added to the Estimate for each Item
Labor:
Items of type Service are matched or created for each Labor Category
A Line is added to the Estimate with the Labor total for each Labor Category
All labor values for labor attached to items will be exported and display as one total for each labor category on an Estimate.
Labor values for labor line items will be included within each labor category total, though a line for the labor line item will also export and appear on the estimate with a zero value.
Subcontract labor will not be included within each labor category total, though a line for the labor line item will also export and appear on the estimate with a zero value.
Shipping:
An Item of type Non Inventory named Shipping is matched or created
A Line is added to the Estimate with the Shipping total
Factors:
Items of type Non Inventory are matched or created for each Factor
Factor name, description, and price are imported
A Line is added to the Estimate for each Factor
Tax Rates need to be manually set within Quickbooks.
The Project address is added to the Estimate as the Billing address
Estimate numbers need to be manually set--they do not auto populate when the Estimate is created upon export from Jetbuilt into QBO.
Service Packages (even when included in Project Total), are not included in the QBO export because they are not line items in the Project
Options and change orders are not included in the QBO export. The only way to have items from a change order appear in a QBO estimate is to merge the change order to the project, then export the entire project to QBO. Those merged items (from the change order) will now appear in the new estimate in QBO, along with the other items that were already in the project.
So, if you already exported the project to QBO before merging the change order, and then export the project again after merging the change order, you will have two estimates in QBO.
The second estimate will contain all the items from the first estimate (minus any items replaced by the merged change order), as well as the new items from the merged change order.
Hidden Items and Hidden Factors will be included and shown in the Estimate
Purchase Orders are not able to be exported
