How to use Service Cases to track time and expenses against Service Packages that have been sold in projects.

Service module subscribers can use service cases to record time and expenses against service packages they have sold in their projects. This helps to track how often the service packages are sold, renewed, and utilized for each client.

Service Package Tracking

When a service package is marked as sold in project, you'll see a notification in yellow letting you know that the service package will now appear in the Service area for tracking and management.

On the Service>Packages page, you'll see a list of service packages that have been sold in your projects.

The information included for each service package is:

  • Client - the name of the client who has purchased the service package

  • Package - the name of the service package that has been purchased

  • Project - the project number in which the service package was sold

  • Expires - the expiration date of the service package if it has a term date, or will display Monthly or Annually for subscription packages

  • # Cases - number of service cases utilizing the service package in the same project

  • Hours - number of service labor hours clocked in a service case utilizing the service package

  • Labor total - total price for labor charges in a service case utilizing the service package

  • Equipment - total price for equipment charges in a service case utilizing the service package

  • Expenses - total price for expenses in a service case utilizing the service package

The list of service packages can be filtered to display either active service packages or expired service packages.

Clicking on the name of a service package in this list will bring up a window to update the dates for which the service package is valid.

The "Date Opened" field will auto-populate based on the date the project is moved into the Completed stage. This date can also be edited manually, if desired.

The "Expiration Date" field will be listed depending on the terms of the Service Package. If the Service Package is sold as a 5 year term, the expiration date will auto-populate based on 5 years from the date opened. If the Service Package is sold as an annual subscription, the expiration date field will be left blank.
