To better track your and maintain your inventory, Stock users can set the desired minimum and maximum inventory levels for Stock items. You can also opt to receive notification emails letting you know when the quantity in your inventory has dropped below the desired level.
Activating Min-Max Tracking
To enable inventory level tracking, go to Settings>Stock, and click the "Enable Min/Max Stock Level Tracking" checkbox to activate the functionality.
Enabling Email Notifications
Once the Stock Level Tracking has been activated, you can opt to receive emails notifying you once an item in your inventory has fallen below the established minimum threshold. Under Settings>Me>Basics, scroll down to Notifications and select the checkbox for "Stock Minimum Notices."
Setting the Min-Max Levels
The minimum and maximum Stock inventory levels can be set for each item in your Company Database. Each item can have any combination of minimum and maximum levels, meaning some items may have both min-max while others just have a min and other just have a max.
To set these levels to your items in bulk, go to Vendors>All Products, select either your Company Database or Custom Items, and click the "Edit Items" button.
This will open up the Stock Min and Stock Max fields for each item for editing.
Stock minimum and maximum levels can also be set when viewing and editing individual items by clicking the blue Edit button.
After the min and/or max levels have been set, click the blue Save button at the bottom of the page.
Viewing the Min - Max Levels
Once the minimum and maximum inventory levels have been saved in your database, you can see these levels in a column on the Purchasing page in your projects and on your Stock>Items page.
ABOVE MAX QUANTITY: If an item has a minimum and a maximum set, and the available qty is greater than the max, the min-max text will be blue with a blue up arrow, indicating the available qty is above the maximum (seen below).
BELOW MIN QUANTITY: If an item has a minimum and a maximum set, and the available qty is less than the min, the min-max text will be orange with an orange down arrow, indicating the available qty is below the minimum (seen below).
WITHIN MIN-MAX RANGE: If an item has a minimum and a maximum set, and the available qty is within the min-max range, the min-max text will be the standard text color and will not have an arrow (seen below).
If an item only has a maximum level set, the min-max column will display "N/A - maximum" and will follow the same rules stated earlier for being within range or above, with blue text and an up arrow (seen below).
If an item has only a minimum level set, this column will display "minimum - N/A", and will follow the same rules stated earlier for being within range or below, with orange text and a down arrow (seen below).
